6 Questions to Ask Before You Specify a Privacy Pod

A common pattern in pre-specification meetings: someone shows up with a Pinterest board of sleek pods, a rough headcount, and a budget number, and expects the rest to sort itself out at the vendor stage. It rarely does.

The specifiers who avoid costly mistakes are the ones asking the right questions *before* they start comparing products. Here are the six that matter most.

Who is using this space, and how many at a time?

Not “how many people work on this floor” — how many people will actually occupy this specific space at once. A pod sized for one quiet caller and a pod sized for a five-person huddle are engineered completely differently, from ventilation to acoustic containment.

For how long, in a typical session?

A five-minute call and a two-hour focus session put very different demands on ventilation and comfort. Products designed for brief occupancy will underperform — sometimes badly — if the real use pattern is extended.

What has to be kept out — or kept in?

Are you protecting the occupant from outside noise, or protecting the rest of the floor from noise generated inside the pod? These are different acoustic engineering problems, and a product optimized for one doesn’t automatically solve the other.

What accessibility requirements apply?

ADA clearances, door swing, turning radius, and reach ranges aren’t optional add-ons — they’re baseline compliance requirements that need to be confirmed against the specific product, not assumed from a marketing image.

What are the fire and life safety implications?

Enclosed structures placed inside a building trigger code questions around sprinkler coverage, egress, and in some cases fire rating, depending on jurisdiction and placement. This is the single most under-asked question in the specification process, and the most expensive one to get wrong after installation.

Where, physically, will this go — and does that location actually support it?

Solar exposure, HVAC zoning, floor loading, and proximity to existing mechanical and electrical infrastructure all affect whether a given placement will work in practice, not just on the floor plan. A pod that performs beautifully in a shaded interior location can overheat badly against a west-facing window wall.

Why this order matters

Notice that none of these questions are “which brand” or “what does it look like.” That’s deliberate. Aesthetic and vendor selection are real considerations, but they’re downstream decisions. Get the six questions above answered first, and the product conversation becomes dramatically easier — because you’ll already know what you actually need.

Here’s the plain-language breakdown of what actually separates these categories, based on how each is engineered to perform.

Phone booths: one person, short duration

Phone booths are the smallest category typically single-occupant, standing or seated, designed for calls and quick focus work measured in minutes, not hours. Ventilation and acoustic requirements are real but modest, since occupancy is brief. The most common mistake I see: buying phone booths and expecting them to double as meeting space. They’re not built for two people having a conversation for an hour, and the ventilation systems usually aren’t sized for it either.

Office pods: single or small-group, extended use

Office pods sit a step up built for one or two people working for longer stretches, sometimes a full workday. This changes the engineering requirements meaningfully: ventilation needs to support sustained occupancy (not just a five-minute call), lighting needs to support real work rather than a quick conversation, and acoustic performance needs to hold up over hours, not minutes. If your use case is “someone doing focused work for two hours,” a phone booth-grade product will not hold up.

Meeting pods: multiple people, conversation-driven

Meeting pods are sized and engineered for groups typically four to eight people having active conversations. The acoustic priority shifts here: it’s less about blocking outside noise and more about *containing* the conversation happening inside, so it doesn’t broadcast to the rest of the floor. Ventilation load also scales with occupant count in a way that catches people off guard; a pod rated comfortably for two people can feel stuffy and underperform acoustically with six people talking inside it.

Specialty environments: purpose-built for a specific function

Beyond these three core categories are specialty pods wellness rooms, lactation rooms, telehealth booths, quiet rooms for neurodivergent staff each with its own compliance and equipment requirements layered on top of the acoustic baseline.

This isn’t a “soft” comfort issue; it is a fundamental access and inclusion barrier.

As an acoustic consultant, I believe that designing for “quiet” is a cornerstone of a truly inclusive workplace. A neuro-inclusive design prioritizes a spectrum of sensory experiences, recognizing that different people require different acoustic environments to flourish.
